Setting up or deleting an email account

Depending on the email account you set up on your phone, other items from your account (such as contacts, calendar, to-dos and more) can appear on your phone as well.

Notes

To set up an email account on your phone, you must have a working mobile data or WiFi connection. For more info, see Connecting to a WiFi network.

If your contacts are stored on your PC, you'll need to import them into Windows Live or another online service before you can sync them to your phone. To learn more, see Importing contacts from your PC.

To set up a Windows Live or Hotmail account

When you first set up your phone, you're asked to sign in with your Windows Live ID. If you didn't sign in then, or if you have more than one Windows Live ID or Hotmail account, you can use the steps below to set up your primary Windows Live ID or additional Windows Live IDs. If you're not sure which Windows Live ID you should use to sign in first, see Which Windows Live ID should I use? to learn more.

  1. On Start, flick left to the App list, tap Settings Settings icon, then tap Email + accounts.

  2. Tap Add an account > Windows Live.

  3. If you haven't signed in with a Windows Live ID yet during setup, the Before you sign in screen appears. On this screen, tap Next.

  4. Tap the Email address box, then type your Windows Live ID.

  5. Tap the Password box, then type your Windows Live password.

  6. Tap Sign in.

    Your Windows Live email, contacts, calendar, photos and feeds will be synchronised to your phone.

Notes

  • The first Windows Live account that you set up can't be deleted from your phone.
  • If you set up additional Windows Live IDs on your phone, photos in those additional accounts won't be synchronised to your phone, and you won't be able to use those Windows Live IDs to play Xbox LIVE games or use a Zune Music Pass. See Which Windows Live ID should I use? to learn more.

To set up a Google account

Once you've installed the latest update for your phone, you'll no longer be able to add your Google contacts or calendar to your phone unless you have a paid Google Apps account. However, you can still add your Google account to get emails. To learn more and get instructions for setting up a Google Apps account, see Synchronising Google emails, contacts and calendars FAQ.

  1. On Start, flick left to the App list, tap Settings Settings icon, then tap Email + accounts.

  2. Tap Add an account > Google.

  3. Tap the Email address box, then type your username.

  4. Press the Password box, type your password, then press Sign in.

  5. Press the Your name box, type the name that you want to appear for messages you send, then press Sign in.

    Your Google Mail emails will be synchronised to your phone.

To set up a Yahoo! Mail account

  1. On Start, flick left to the App list, tap Settings Settings icon, then tap Email + accounts.

  2. Tap Add an account > Yahoo! Mail.

  3. Tap the Email address box, then type your Yahoo! ID.

  4. Tap the Password box, then type your password.

  5. Tap Sign in.

    Your Yahoo! Mail emails will be synchronised to your phone.

To set up a Microsoft Exchange or Office 365 email account

You can set up email accounts on a Microsoft Exchange Server (many work accounts use this), accounts that use Exchange ActiveSync (including Outlook Web App) and Office 365 accounts.

  1. On Start, flick left to the App list, tap Settings Settings icon, then tap Email + accounts.

  2. Tap Add an account > Outlook.

  3. Tap the Email address box, then type your email address.

  4. Tap the Password box, then type your password.

  5. Tap Sign in. If the phone finds your account settings, your email, calendar and contacts will be synchronised to your phone, and you can skip to step 8. If not, continue to the next step.

  6. On the Outlook screen, do the following, then tap Sign in:

    For this field Do this

    Email address

    Verify that your email address appears correctly.

    Password

    Tap Show password, then verify that the password is correct.

    Username

    Verify that the username is correct.

    For example, if your work email account is on Microsoft Exchange Server and your email address is kevinc@contoso.com, you would type kevinc for the username.

    Domain

    Type the domain name for your account.

    The domain is part of the information you might use to log on to your PC. For example, if you log on as domainName\kevinc, type domainName for the domain name.

    If you're using an Outlook Web App account or a hosted Microsoft Exchange account, you typically don't have a domain. Leave the Domain box empty.

  7. If the correct settings can't be found, tap Advanced, do the following, then tap Sign in:

    • Tap the Server box, and enter the server address. This is the web address that you use to access your email in a web browser using the Outlook Web App. If you don't know the address, use the steps in the next procedure to find it, or contact your system administrator.
    • Tap Show all settings, then verify that the Server requires encrypted (SSL) connection setting is correct. If you're not sure, ask your system administrator.
  8. If the New password needed message appears after a few moments, tap Set, tap the New password box and enter a password that meets the security requirements. Tap the Confirm password box and type the same password, then tap Done.

To find your Exchange Server information in Microsoft Outlook 2010 on your PC

  1. In Microsoft Outlook 2010, click File, click Account Settings, then click Account Settings.

  2. Click your Microsoft Exchange email account name, then click Change.

  3. Click More Settings.

  4. Click the Connection tab, click Exchange Proxy Settings, and then note the server address in the Use this URL to connect to my proxy server for Exchange box.

To set up an email account from an Internet Service Provider (ISP)

  1. On Start, flick left to the App list, tap Settings Settings icon, then tap Email + accounts.

  2. Tap Add an account > Other account.

  3. Tap the Email address box, then type your email address.

  4. Tap the Password box, then type your password.

  5. Tap Sign in.

  6. Do one of the following:

    • If the correct settings are found, wait for your phone to finish synchronising and then use your email. You've finished setting up your account on your phone.
    • If the settings aren't found, make sure both the username and password are correct, then tap Try again. If the settings still aren't found, tap Advanced, and then enter the settings manually using the steps in the next procedure.

To enter email account settings manually (advanced)

To enter account settings manually, you'll need to know information such as the email account type (POP or IMAP) and the incoming email server address. The complete list of things you need is in the table below. You can usually find this information on your email provider's website.

  1. In Advanced Setup, tap Internet email account.

  2. Do the following:

    For this field Do this

    Account name

    Type a descriptive name for the account.

    This is the account name that will appear on your phone.

    Your name

    Type your name.

    This is the name that will appear for the email messages that you send from this account.

    Incoming email server

    Type the name of the incoming email server.

    This typically includes IMAP or POP (depending on the type of email account).

    Example incoming email server address: imap.contoso.com or incoming.contoso.com

    Account type

    Tap POP3 or IMAP4.

    Username

    Type your username.

    Password

    Type your password.

    Outgoing (SMTP) email server

    Type the name of the outgoing email server.

    The outgoing email server name typically includes SMTP.

    Example outgoing email server address: smtp.contoso.com

    Outgoing server requires authentication

    Verify that the setting is correct.

    Use the same username and password for sending emails

    Verify that the setting is correct.

  3. Tap Advanced settings, verify that all settings are correct, choose your download settings, then tap Sign in.

To delete an email account

  1. On Start, flick left to the App list, tap Settings Settings icon, then tap Email + accounts.

  2. Tap and hold the account you want to delete from your phone, tap Delete, then tap Delete again.

Note

The first Windows Live account that you set up can't be deleted from your phone.
